Our client, an importer and distributor, is seeking an experienced Sales Administrator and Customer Support professional.
- Location: Ballycoolin, Dublin 11, fully office-based role
- Hours: 9am-5pm, Monday – Friday
- Salary guide: 33K to 38K, depending on experience
The Ideal Candidate Must Have:
- 2 + years of experience in a Sales/Customer Service Administration role and/or experience in warehouse administration
- Strong experience with administrative systems such as DOCK-IT and Vinter, or similar systems
- Fluency in English and excellent communication skills
- Live local to the area or be in a 20/30 minute commute
Key Responsibilities:
Order Processing and Customer Service
- Always ensure excellent customer service by phone, email or other communication channel – we are there to serve the customer and look after their needs in a dynamic and helpful manner.
- As a front-line communicator with customers please ensure customer satisfaction.
- Become proficient in the use of Vintner (company computer software management tool).
- Handle Incoming orders via phone, email, Vintner Online (rep portal), procurement software, etc.
- Enter these orders on Vintner for electronic transfer to the bonded warehouse for dispatch.
- Effectively manage time and prioritise tasks to ensure orders are placed within stated deadlines (12.00pm for country orders and 3.30pm for Dublin).
- Pro-actively respond and find solutions to customer and sales rep queries and issues and see it through until it is resolved.
- Become familiar with the product range and develop a good level of general wine knowledge.
- Get to know our customers and their individual requirements.
Sales Office Administration
- Invoice processing for emailing or posting to customers at weeks end.
- Returns and credits processing. Following up with bonded warehouse for same.
- Run weekly sales report on Friday and email to team.
- POD scanning and storing using software DOCK-IT.
- Maintain and update customer’s contact information and pricing records where necessary.
- Work in harmony with other departments; sales, management, purchasing and warehouse to share information, streamline processes and ensure efficient Interdepartmental operations.
- Management of office equipment and stationery orders.
- Maintaining a clean and enjoyable working environment.
Light Warehouse Duties
- E.g. Housekeeping and periodical stock cycle counts in our own small warehouse.
Minimum Requirements:
- 2 + years of experience in a Sales/Customer Service Administration role and/or experience in warehouse administration
- Strong experience with administrative systems such as DOCK-IT and Vinter, or similar systems
- Well-presented with excellent communication skills
- Fluent level in English, both written and oral
- Live local to the area or be in a 20/30-minute commute
- Knowledge a passion for wine is strong advantage
